Your role
As a Management Assistant you will provide organizational support that involves facilitating positive working relationships in the delivery of administrative tasks and services within the secretarial team. This is a support position for the three debt departments, Agribusiness, Food and Water, Energy, and Financial Institutions. You will show your initiative, make decisions, and think in solutions. Furthermore, you have outstanding organizational skills, and demonstrate flexibility, accuracy and sharpness, also in challenging situations.
The most important tasks and responsibilities are:
- Support the Managers with calendar management.
- Plan meetings for the Managers and their teams.
- Support preparing the team meeting agendas and track follow-up.
- Support recruitment (scheduling of interviews, supporting with international travel for job candidates).
- Centralize information relevant for the department and apply efficiencies (inc. SharePoint etc.).
- Support in onboarding new colleagues (onboarding meetings, badges, ICT etc.).
- Assist with organizing business trips (tickets, hotel, visa etc.).
- Process travel declaration costs, payment of invoices etc.
- Provide support and organization for team building and offsites.
- Provide support for national and international events - FMO-led or external.
- Planning, organizing, and monitoring appointments for external meetings.
- Receive international clients and partners at FMO’s office.
- Be discrete regarding confidential information.
- Provide support to other members of department teams, if necessary.
Our offer
We offer a salary of around 45K per year depending on your experience. This position is within Scale 5 in FMO; and it is for 32 hours per week.

Your background
- Secondary vocational education (MBO) or Bachelor.
- At least 5-10 years of relevant working experience in a similar role preferably within the banking industry.
- Excellent knowledge (spoken and written) of both Dutch and English.
- Solid experience with Microsoft Applications.
- Experience with complex administrative systems.
Competences & skills
- Copes well with deadlines, is pro-active and a good team player.
- Used to working independently, is service oriented, accurate and able to set priorities; Excellent organizing and planning skills.
- Experience with complex calendar management.
- Has experience in communicating and working with various cultures.
- Is flexible, takes initiative, is pro-active and open-minded.
